Fleece - Wool Marketing Stock and Purchasing

A sophisticated purchasing, invoicing and stock management system for wool marketing companies, Fleece integrates with the MoneyWorks Accounting system to provide a robust and complete wool marketing business administration package.

Background

Initially developed to replace an aging wool purchasing and stock control system running on a WANG minicomputer, Fleece has been continually developed since 1995 and remains an up-to-date software package (running on a local area network of personal computers). The system is now in use throughout New Zealand by a variety of Wool Merchants and Brokers.

Major features

Purchasing:

• handles regular and sundry wool growers (vendors)
• buy wool bales, fadges, dags, skins and hides
• immediately prints Grower Weight Sheets

Stock Management:

• group stock bales into Lots, group Lots into Parcels
• add Lots/Parcels to Orders
• split mixed wool into physical wool bins
• press new bales from physical bins

Electronic Data Transfer:

• collects tests results from Test Houses
• sends electronic Lot Invoices to exporters
• can send requests to Test House for post-sale printing
• email Sales Invoices, Weight Notes, Buyers Reports etc

Financial Control:

• create Grower invoices
• create invoices for wool and skins/hides sales
• cash reconciliations, direct debit report for vendor payment
• export invoice data to Moneyworks (or MYOB) accounting which handles

• cheque printing, Asset management
• full general ledger accounting functions

Printed Reports:

• Stock Summary, Picking Schedules, Weight Sheet Reports
• Wool and Skin Levy Reports, Storage Charge reports

Purchasing

The Purchasing Screen is used in the Wool Shed whenever Growers deliver wool bales, fadges, dags, skins or hides for sale. Features of this screen include:

• rapid entry of all purchase items
• data entry checks as data is typed into the system
• graphical user interface providing fast and easy data entry
• immediate entry of new Vendor information without having to interrupt the entry of purchase details
• on-screen buttons to enable immediate production of weight sheets, invoices, vendor envelopes etc
• Grower Description and Wool Type look-ups to speed data entry, and ensure data verification
• view and modify all vendor details if necessary without disturbing the purchase data entry

  

Quick Searches

Fleece provides standard user-friendly dialog boxes which allow users to search for any information within the system

• rapidly enter search criteria
• select search fields from pop-up menu (see below)
• select search conditions from pop-up menu (see below)

  

Data List Screens

Any information stored within Fleece (or Sapphire) can be retrieved (by a standard search), and then displayed in a data list screen. Such screens list the appropriate records, and allow you to view or modify any of those records. An output screen is displayed below, this screen illustrates that:

• each line represents a single data record in the database
• the screen provides standard search and print functions
• full details about each record can be access by double-clicking with the mouse on any line in the list.
• ad hoc reports can be created from the data contained within the list, or from a sub-selection of records in the list.

  

Data Entry Screens

Individual records within the database can be retrieved, and where appropriate, modified. All Fleece data entry screens provide:

• immediate data validation
• automatic data formatting
• data entry shortcuts for speedy entry
• on- screen buttons for deleting records, or printing reports

Specific Functionality

To provide the end-user with a user friendly system that works the way you do, rather than vice-versa, all functions within the application are designed to improve the efficiency of your business.

The example screen below shows the dialog box used by admin staff to split fadges into physical wool bins. Each type of wool is entered into the screen, the weight and price information entered, and then the number of the physical bin is added. Once this information is stored within Fleece, new bales can be pressed from the bins, with data verification checks being performed to ensure that there is in fact the correct amount of wool available.

Printed Reports

High quality printed reports compliment the on-screen data output functions of Fleece. Not only does Fleece contain a bevy of pre-defined report formats, from Weight Sheets to Vendor Invoices and Order Confirmations, but the application also contains a sophisticated ad hoc report editor that allows you to create (and save) your own report definitions
